Events and Membership Specialist
Parks and Recreation Ontario (PRO) is a non-profit, membership association that advances the health, social, and environmental benefits of quality recreation and parks. It was formed in 1995 out of a shared belief in the power of parks and recreation to affect social change. We believe that parks and recreational programs aren't just a fringe benefit. They are essential to the social, economic, and environmental health of Ontario. Equitable access to parks and recreational programs promotes health, strengthens communities, and supports environmental sustainability. PRO has three primary portfolios: Education and Training, Policy, and Quality Standards.  


Position Summary 

Reporting to the Director of Policy and Communications, the Events and Membership Specialist is responsible for coordinating all aspects of PRO’s training events and managing the organization's membership portfolio.  


You will work closely with the Director, Quality Assurance to coordinate PRO’s education and training events. PRO’s Education and Training portfolio consists of a mix of large-scale events and smaller online webinars. In this position, you will act as the project lead in the planning, execution, and oversight of these events. PRO’s members provide parks and recreation services to over 85% of Ontarians. Their engagement in the organization’s events, training opportunities, and advocacy is critical to the health of the organization and the sector more broadly. As the Events and Membership Specialist, you will work closely with the Director, Policy and Communications to manage and operationalize PRO’s membership portfolio.  


Position Responsibilities 

Events and Training 

  • Collaborate with staff to develop, recommend, establish, and implement event operating procedures.
  • Create and maintain an annual event calendar to include timelines, speaker sourcing, revenue, and expenses for all events.
  • Coordinate all elements of an event/program including all logistics and content management including, but not limited to registration processes and vendor management.
  • Research and source venues, speakers, and other event components required for a successful conference or training.
  • Support program content design and work with staff/volunteers to ensure a balanced program designed to meet training goals. 
  • Follow up and coordinate with all speakers to ensure seamless delivery of PRO’s conferences. 
  • Work with communication staff to undertake pre- and post-event communications, follow-up, and outreach.
  • Conduct an evaluation of each event, engaging attendees, stakeholders, staff, and volunteers as appropriate, and make recommendations for enhancements for future training events.
  • Oversee and develop event registration pages on the PRO database and website.
  • Take on the role of technical host for a variety of online trainings, events, and webinars. 



  • Lead PRO’s membership renewal process. 
  • Collect data on memberships and provide key insights on trends related to attrition and renewal rates to inform the organization’s membership strategy. 
  • Assist in the execution of membership engagement campaigns. 
  • Conduct outreach to existing and potential corporate members to provide support on sponsorship and advertising opportunities. 
  • Support existing and prospective members as they access the PRO database and other services. 
  • Maintain the integrity of data in the PRO database and update membership records during the renewal process.
  • Provide input on communication updates as it pertains to membership. 
  • Support other areas of the business as required.


Qualifications and Skills 

  • College Diploma or University Degree
  • 5 years of experience in major event coordination, preferably in a non-profit or recreation environment.
  • Proven project management skills. 
  • Excellent oral and written communication and interpersonal skills, with the ability to engage a wide variety of stakeholders, both internal and external.
  • Strong analytical and critical reasoning skills with the ability to independently solve problems while working collaboratively in a team environment.
  • Ability to manage competing demands effectively and prioritize between tasks.
  • Flexible and able to change priorities quickly in a fast paced, dynamic environment.
  • Knowledge of social media, project management tools, and cloud-based video communication applications (Zoom, Teams etc.).
  • Experience in budget maintenance and managing revenue targets.
  • Experience working with volunteers in a project-based environment
  • Member of Meeting Planners International an asset.

Compensation: $60,000 to $65,000, commensurate with experience. PRO offers a generous benefits package upon successful completion of a three-month probationary period.
